When you ask whether the business is visible in ChatGPT, you may mean several things: that the name is mentioned, that the website is used as a source, or that a paid ad is shown. Those goals require different work and should be measured separately.

This guide is about the website’s organic visibility. The goal is to make the business and its expert content easy to understand, find and verify. The work is also useful for the customer who comes directly to the website and needs to decide whether you are the right supplier.

## What you will learn

- A mention in an answer, a source citation and an ad are three different forms of visibility.
- Start with correct business information, strong service content and technical access to the pages.
- Use a fixed set of questions over time. A single answer is only a snapshot.

## What do we mean by visibility in ChatGPT?

ChatGPT can search the web and show sources in its answers. OpenAI states that placement cannot be guaranteed. Paid ads are handled separately and do not affect the answer itself. A report should therefore distinguish between the different observations.

Three observations that should be recorded separately

| Observation | What you should check |
| --- | --- |
| The business is mentioned | Is the business correctly identified and described? |
| The website is used as a source | Which page is linked, and does it support the claim in the answer? |
| A sponsored ad is shown | This is paid visibility and should be assessed in ad reporting. |

## First, the right pages must be accessible

OpenAI recommends allowing OAI-SearchBot and checking that the hosting service or CDN lets the crawler through. So a permission in robots.txt is only one part of the check. The page must also be accessible without login or a block from the provider.

Ask the developer to review the most important service pages, the contact page and the articles. The review should show which address is the correct one, whether the page responds normally, and whether the essential content is actually accessible. Prioritise errors that hide the service or send the user to an old address. A long list of technical observations is less useful than knowing what is blocking access right now.

## Make the service page a good answer to the customer’s question

Start with your sales process. Which questions come up repeatedly before a customer feels confident enough to order? For a web development project, this could be what is included, who writes the copy, how the CRM is connected, and who maintains the solution after launch.

Create a page that answers those questions with your own, verifiable information. Describe the process you actually offer, what the customer needs to contribute, and which choices affect the price. If something is agreed on from project to project, say what you need to know in order to price it. That is more useful than a vague starting price with no explanation.

An article can explain how the customer evaluates the options. The service page should make it easy to understand what you deliver. Link them together where it helps the reader move forward, so the information has a natural path to a relevant enquiry.

- Who the service is for, and which needs it covers.
- What the delivery includes, and what must be agreed separately.
- How a collaboration is carried out, from clarification to follow-up.
- What affects price and time required, with clear assumptions.
- How the customer takes the next step, and what information you need.

## Give the reader something to verify

Claims about the company should be verifiable. Use the correct registered business name, contact details, and actual delivery area. Use your own employees as authors where they are responsible for the professional content. When an article mentions a launch or a platform feature, link to the source and state when the information was checked.

If you have a customer story you can publish, describe the starting point, the actions taken, the time period, and what the result actually measures. State any relevant limitations. If you do not yet have a publishable case study, use a clearly labelled example or a working template. A fabricated success story helps neither the customer nor trust in the business.

## Create a measurement you can repeat

Create a small set of questions that reflect real buying situations. Include both questions about the company and questions where the customer does not yet know the name. Use the same wording when tracking progress, and note the date, whether web search was used, and the geographic context of the question.

This is our recommended working method, not a complete measurement of all ChatGPT users. Answers may vary. Look for patterns, misinformation, and missing content you can improve, rather than interpreting a single mention as a fixed position.

Example of a simple check for a company offering web development

| Question type | Example | What you record |
| --- | --- | --- |
| Company information | What does this company offer? | Whether services and contact details are correct |
| Buying guidance | What should we clarify before ordering a new website? | Which sources and issues are used |
| Supplier selection | Who can help with website and CRM integration in our area? | Which suppliers are mentioned and why |
| Your own content | How do we evaluate web development proposals? | Whether relevant pages on your own domain are used as a source |

## What about llms.txt and your own AI initiatives?

An llms.txt file can bring together a short description of the company and links to important content in text format. It should be treated as a supplementary overview, not as a request to be mentioned in an AI response.

Google says that dedicated AI text files are not necessary for the company’s AI features in search, and that standard SEO principles still apply. That statement applies to Google. OpenAI’s guidance on visibility highlights crawler access and does not promise any placement. Prioritise accessible pages, correct information, and content the customer will actually benefit from.

## A practical plan for the first month

Start with a clearly defined improvement that someone can take responsibility for. A company with five unclear service pages often needs better answers on those pages before it needs many new articles.

Media Access’s visibility check can provide an initial snapshot of whether the company is being suggested in a selection of ChatGPT responses with web search. Use the findings as a starting point for further work on content, website, and marketing.

- Week 1: Choose the most important customer questions and document your current website and visibility.
- Week 2: Fix incorrect business information, broken links, and technical access issues.
- Week 3: Improve one priority service page and publish one thorough answer to a real buying question.
- Week 4: Repeat the check, record what has changed, and choose the next improvement. Expect visibility to take longer to develop.

## Questions and answers

### Do ChatGPT Ads make the company more visible in regular responses?

Advertising allows for paid placements. It does not guarantee that the company will be mentioned or used as a source in ChatGPT’s regular responses.

### How quickly can we become visible?

There is no reliable deadline. Start with errors you can fix and content you can improve, and track progress using a fixed set of questions.

### What does a visibility check show?

It shows observations from the questions and answers that were actually checked. It does not describe every possible ChatGPT response or a guaranteed placement for all users.
